COMPANY PROPERty and equipment POLICY
Clean Freaks is committed to maintaining a professional, organized, and accountable work environment where all company-issued equipment and materials are handled with care, accountability, and professionalism. This policy outlines expectations for the proper use, maintenance, and responsibility of all company property.
EMPLOYEE RESPONSIBLITY
Employees are issued company property and equipment necessary to perform their job duties. All issued items remain the sole property of Clean Freaks and must be used exclusively for company business.
Employees are responsible for all equipment and supplies assigned to them.
This includes:
- Using all equipment properly and as trained
- Maintaining cleanliness and organization of all items
- Protecting equipment from damage, neglect, or misuse
- Reporting any damage, malfunction, or loss immediately
Failure to properly care for company property may result in replacement charges and/or disciplinary action.
EQUIPMENT CARE & CONDITION STANDARDS
All equipment must be kept in clean, functional, and acceptable working condition at all times.
Equipment may be considered unacceptable if it includes, but is not limited to:
- Missing parts (attachments, components, or accessories)
- Visible damage (cracks, breaks, or structural issues)
- Electrical or battery-related damage
- Excessive dirt, buildup, or lack of basic maintenance
- Performance issues resulting from neglect or improper use
REPORTING PROTOCOL FOR COMPANY PROPERTY
REQUIRED STEPS:
- Notify management immediately by phone or message as soon as an issue is identified.
- Stop using the equipment if it is damaged or malfunctioning.
- Complete the Equipment Loss/Damage Report Form immediately after notifying management.
FAILURE TO COMPLY
Failure to follow the reporting protocol may result in:
- Replacement charges or payroll deductions (as authorized)
- Disciplinary action
- Further corrective action up to and including termination
REPLACEMENT & FINANCIAL RESPONSIBILITY
- Replacement charges may apply if damage, loss, or neglect is determined
- Payroll deductions will follow Wage Deduction Authorization
- Repeated incidents may result in disciplinary action
Vacuum Responsibility and replacement policy
Each Cleaning Technician is issued a company vacuum at no cost and is responsible for maintaining it in proper working condition. Vacuums must be handled with care, used appropriately during all cleaning appointments, and protected from damage, neglect, or improper use.
REPLACEMENT COST STRUCTURE:
If a replacement is required, the following cost structure applies:
- First Replacement: Employee is responsible for 50% of the replacement cost
- Second Replacement and Any Additional Replacements: Employee is responsible for 100% of the replacement cost
Replacement costs will be deducted from the Employee’s paycheck in accordance with the Wage Deduction Authorization Agreement.
REPLACEMENT APPROVAL
- All vacuum replacements must be approved by management.
- The current vacuum must be turned in and will be inspected prior to issuing a replacement.
- Replacement is not automatic and will be evaluated based on equipment condition and replacement history.
DAMAGED OR UNACCEPTABLE CONDITION
- Vacuums returned in damaged or unacceptable condition may result in a replacement charge regardless of replacement history.
- Failure to properly care for assigned equipment or continued use of malfunctioning equipment may result in replacement charges and/or disciplinary action.
- Replacement charges may apply regardless of replacement history if equipment is returned in damaged or neglected condition.
IMPORTANT USAGE RULE
Employees are not permitted to substitute a personal vacuum in place of a company-issued vacuum.
Any vacuum-related issue must be reported immediately to management and documented using the Equipment Loss/Damage Report.
RETURN OF COMPANY PROPERTY
In the event of termination, resignation, or upon management’s request, all company property must be returned no later than the Wednesday following your final day of work. Management will inform you of the specific time for the return.
Returned items must meet the following conditions:
- Equipment must be clean and functional
- Cleaning cloths must be washed and neatly folded
Failure to return property in acceptable condition, or failure to return property at all, will result in the following:
- A $50 Fine being deducted from your final check for the return of unwashed and folded cleaning cloths.
- The assessed value of the unreturned or damaged property will be deducted from your final paycheck.
- If the value of the unreturned items exceeds the amount of your final paycheck, the paycheck will be forfeited, and Clean Freaks will file a police report for theft to recover the remaining balance owed.
ON-SITE EQUIPMENT & SUPPLY RESPONSIBILITY
To maintain professionalism and protect company property, Cleaning Technicians must follow these guidelines when handling company-issued supplies and equipment during appointments:
- Employees are responsible for taking all cleaning supplies and equipment with them at the end of each service.
- Do not leave company products, tools, or equipment in a client’s home without prior approval.
- If a supply item is too large or impractical to carry between jobs, consult management for guidance.
- In rare cases where items must be left behind due to an unexpected lock-out or emergency, this must be reported to the office immediately, and a retrieval plan must be arranged.
PERSONAL PROPERTY RESPONSIBILITY POLICY
Employees are responsible for securing their personal belongings while working on company or customer premises.
- Personal items must not be left unattended in a client’s home under any circumstances.
- If an item is accidentally left behind, notify the office immediately and arrange retrieval within 1 business day.
- Clean Freaks is not responsible for any personal items left at a job site.
Clean Freaks is not liable for the loss, theft, or damage of personal belongings on company or customer premises. Employees are advised to secure all personal items in a locked vehicle.
If you believe personal property has been stolen while on Clean Freaks premises, you should contact the local police department and file a report.
Personal bags, purses, or food are not permitted inside customer homes at any time.
