cell phone usage policy

To maintain professionalism, safety, and focus while on the job, Clean Freaks has established guidelines for appropriate cell phone use and media capturing during work hours. This policy outlines expectations for personal phone usage, as well as the proper and authorized use of photos or videos taken in customer homes or on job site. It applies to all team members and is designed to ensure professionalism, safety, and the protection of client privacy while supporting the company’s marketing efforts.

CELL PHONE USAGE

For the purposes of this policy, the term “cell phone” refers to any handheld electronic device capable of receiving or transmitting voice, text, or data messages.

  • Personal cell phone use during work hours is strictly prohibited, except in the case of an emergency. If an emergency arises, employees must excuse themselves from the work area and keep the conversation brief and discreet.
  • Employees are required to answer all calls from Clean Freaks management or staff during business hours.
  • The use of personal cell phones for company-related communication or tasks is not eligible for reimbursement under any circumstances.
  • ⚠️ Sharing personal phone numbers with clients or contacting clients directly via personal phone—for any reason, including texting, calling, or sending photos or updates—is strictly prohibited and may result in disciplinary action, unless specifically approved by management or instructed in the client notes.

    Even if permission is granted or contact is instructed, employees may only communicate with the client while actively servicing that client’s home. Personal contact with clients outside of those conditions is not permitted under any circumstances. All communication should remain professional and occur through approved company channels


MEDIA CAPTURING POLICY

To support Clean Freaks’ marketing and social media initiatives, all cleaning technicians are required to capture and submit media (photos and videos) from job sites in accordance with the following guidelines:

VIDEO REQUIREMENTS

  • Submit one (1) before-and-after video per week, from a client’s home of your choice.
  • Videos should cover at least one room and be 30 seconds to 1 minute in length.
  • When working in a team, one additional video must be submitted that features your teammate actively cleaning. For privacy, their full face does not need to be shown. Both teammates must submit this type of footage when applicable.

PHOTO REQUIREMETS

  • Submit one (1) before-and-after photo set per week, taken from any client home of your choosing.

SUBMISSION GUIDELINES

  • All media must be uploaded daily using the platform or method provided by management (subject to change).
  • Captured media is to be shared exclusively with Clean Freaks management. It is not for personal use and may not be posted on personal social media or shared outside of the company.

PRIVACY & CONDUCT

  • Employees are not permitted to record or photograph any part of a client’s home beyond what is required by this policy.
  • Any misuse of photos or videos, unauthorized sharing, or failure to comply with media requirements may result in disciplinary action, up to and including termination.

This policy is designed to protect client confidentiality, maintain a professional work environment, and support Clean Freaks’ branding and visibility. Thank you for your cooperation and commitment to upholding these standards.
