ATTENDANCE POLICY

Punctuality and consistent attendance are essential to the success of Clean Freaks and the satisfaction of our clients. Employees are expected to report to work on time and remain at work for the entirety of their scheduled shifts unless prior arrangements have been made.


ATTENDANCE POLICY OVERVIEW

All employees covered under this policy must be present and ready to begin work at the start of their scheduled workday. If you are unable to report to work, or anticipate being late, you are required to notify management no later than 7:30 AM, and preferably by 7:00 AM, on the day of the absence.


ABSENCE DEFINITIONS

  • Excused Absence: Any absence that has been pre-approved by a supervisor, manager, or authorized member of leadership.
  • Unexcused Absence / Call-Off: Any absence that is not pre-approved, or when proper notification procedures are not followed.

GUIDELINES

All employees are expected to maintain good attendance habits. This means:

  • Reporting to work on time each scheduled day
  • Notifying management with a phone call in a timely manner if you are unable to attend (Same day by 7:00AM)
  • Requesting time off through proper channels and within the required timeframe

Excessive absences or habitual lateness may result in disciplinary action, up to and including termination.


PROVISIONS

  • Each unapproved absence will be considered an occurrence.
  • Multiple consecutive days missed for the same illness or emergency will be counted as one occurrence, provided the employee notifies management each day.
  • Failure to notify management daily will result in each day being counted as a separate occurrence.
  • Voluntarily agreeing to work on a day you are not scheduled binds you to the same attendance expectations; failure to report becomes an occurrence.

TIME OFF REQUESTS

  • All time off requests must be submitted at least two weeks in advance
  • Requests must be submitted via the Connecteam App (method subject to change)
  • Verbal or text message requests are not valid and will not be accepted

SAME DAY CALL-OFFS

All same-day or emergency call-offs must be communicated by calling and verbally speaking with management by 7:00AM.

  • Text messages, emails, or voicemails will not be accepted as proper notice and will be treated as an unexcused absence.

MEDICAL ABSENCE 

If you are absent due to illness for consecutive days, a doctor’s note confirming your inability to work may consolidate those days into one occurrence. However, medical documentation does not excuse the occurrence itself—it only affects how multiple days are counted.


EXTENDED ABSENCES

Clean Freaks understands that situations may arise requiring time away from work. However, extended absences must be managed responsibly and communicated clearly to avoid disruptions to operations and ensure proper staffing.

If an employee has notified management according to our policy, and is absent for three (3) or more consecutive days, they must provide valid documentation to support the reason for the absence. Acceptable documentation may include:

  • A doctor’s note
  • Hospital or medical discharge paperwork
  • Legal or official notices (e.g., accident reports, court orders)

Failure to provide such documentation may result in the absence being considered unexcused and subject to disciplinary action under the Attendance Policy.


UNPAID EXCUSED LEAVES OF ABSENCE

Leaves may be granted without pay due to unavoidable circumstances. Absences over 14 days are considered a leave. Extended absences for illness or emergencies begin leave on Day 1. No vacation accrual, merit increases, or reviews are issued during leave. Contact must be maintained bi-weekly. Medical clearance is required to return from disability leave. Leave over 30 days results in removal from payroll.

The following absences may be excused and unpaid without disciplinary consequences, provided proper documentation is submitted within 48 hours.

TYPES OF LEAVE:

  • PERSONAL LEAVE (Sick/Unpaid): Max 90 days, no guarantee of position upon return.
  • BEREAVEMENT LEAVE: 8 unpaid hours for immediate family (spouse, child, parent, etc.). PTO or additional unpaid time may be used.
  • JURY DUTY: Unpaid leave granted with documentation. Expected to work when jury presence is not required.
  • MILITARY LEAVE: Granted in accordance with federal/state laws.
  • PARENTAL LEAVE: Policy compliant with FMLA and ADA standards.
  • UNAVOIDABLE EMERGENCIES

Documentation must clearly state the date(s) and reason for the absence and be provided to management or Human Resources.


CHRONIC ABSENCE OR TARDINESS 

Consistent attendance and punctuality are essential to the success of Clean Freaks and the satisfaction of our clients. Employees who receive corrective action under this policy are expected to make immediate and sustained improvements in their attendance and timeliness.

Continued issues may result in further disciplinary action, up to and including termination of employment.

The company reserves the right to request documentation to support the reason for any absence. Employees who fail to report to work without notifying management will be considered to have voluntarily resigned due to job abandonment. In such cases, immediate termination may occur, and the employee may be ineligible for rehire and will not receive  payment of any unused paid time off (PTO).


NO CALL-NO SHOW & JOB ABANDONMENT

If an employee fails to report to work for one day and does not notify management it will be classified as a No Call-No Show.  This will result in a disciplinary action at managements discretion.

If an employee fails to report to work and does not notify management for two (2) or more consecutive scheduled workdays, it will be classified as job abandonment, which is considered a voluntary resignation without notice. This may result in immediate termination and ineligibility for rehire.


REQUESTS FOR EXCEPTIONS

Employees may request exceptions to the attendance policy on a case-by-case basis. All such requests must be submitted in writing to management or Human Resources and are subject to approval at the company’s discretion.

ATTENDANCE POLICY EXCEPTIONS

The following types of absences are exempt from disciplinary action, provided the appropriate documentation is submitted to management within 48 hours:

  • Bereavement leave
  • Jury duty
  • Military duty

These absences will not count as occurrences under the Clean Freaks Attendance Policy.


FAILURE TO FOLLOW PROCEDURE

Failure to follow the notification and attendance procedures outlined in this policy may result in disciplinary action, including written warnings, suspension, or termination, depending on the severity and frequency of the violation.
